Administrative Assistant

POSITION
Summary:
The Administrative Assistant is responsible for all functions related to accounts payable, file maintenance, and general office duties as assigned. In addition to accounting, the administrative assistant will support the HR department as needed.
ESSENTIAL
Responsibilities:
Accounting:
o Open and date stamp mail
o Sort by vendor and file
o Sort receiving documents by vendor and file
o Enter matched invoices into computer system
o Enter corrections to invoices
o Print and sign checks
o Match checks and check copies to invoices and remittances
o Mail checks
o File paid A/P
Administration:
o Coordinate and order office supplies and toner recycle program
o Sort and distribute incoming mail.
o Prepare and mail outgoing mail
o Set-up travel arrangements for employees and visitors
Human Resources:
o Assist maintaining employee files and the HR filing system
o Keep employee communications up to date
o Point of contact for weekly vendors
o Assist in the planning of company events
o Other duties as assigned
POSITION REQUIREMENTS:
o Minimum of a two-year degree or high school diploma with 3 years of experience required.
o Must possess a professional attitude, strong organizational skills, verbal and written communication skills and the ability to interact well with others.
o Working knowledge of Microsoft office and Accounting software required.
This position is a temp to hire, Mon- Fri 8:00AM - 5:00PM and $12/hr.
Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
